Film Outreach & Events Manager

Position: Film Outreach and Events Manager; temporary, project-based, up to 40 hrs/week, hourly employee

Start date: Flexible between January 1 - February 28, 2026 (February 1st is ideal)

End date: July 31, 2026 (commitment required; extension or new part time role may be offered if sufficient funding is secured)

Location: Remote or hybrid with some travel. San Francisco Bay Area, Northeast metropolitan area (e.g. NYC, NJ, Boston, DC) or Los Angeles area preferred

Compensation: $40-50/hour DOE

POSITION DESCRIPTION

The Film Outreach & Events Manager will play a key role on a team executing a national screening tour with associated impact and educational programming for the feature documentary film The Chaplain & The Doctor. The role will report to the campaign producer and collaborate with Reel Medicine Media’s’s chief creative officer, administrative/program associate and executive director as well as other campaign consultants (e.g. PR, evaluation) as needed.

The ideal candidate holds a bachelor's degree and has 3+ years of experience in film promotion, distribution and/or impact producing, project administration and management, program and partner relations, PR and communications, fundraising, events management and/or executive or administrative support. Meticulous organizational skills, effective communication, strong writing skills, flexibility, and a willingness to roll up one's sleeves in a startup environment will be keys to success in this role. Interest or experience in end-of-life issues, medical and healthcare education, storytelling and documentary film is desired.

PRIMARY RESPONSIBILITIES WILL INCLUDE:

  • Collaborating with team to create/refine outreach materials and processes

  • Researching and identifying new leads and opportunities for screenings and ancillary events; tracking and routing any prospective funding, distribution, or press-related leads to other team members

  • Outreach to prospective partners for screening and ancillary events/programs

  • Negotiation, communication and coordination with prospective and confirmed partners

  • Detailed event management/coordination for both in-person and some virtual events, which will include some domestic travel (during main tour dates of April through June, 2026)

  • Management of overall event plans/logistics in collaboration with the rest of the campaign team

  • Promotional activities and support (e.g. social media, paid advertising, distribution of marketing materials to partners, coordinating with PR/press, documentation)

  • Event management activities such as confirming logistics and run-of-show plans; communication/coordination with all parties (e.g. venues, partners, volunteers, and any speakers); coordinating tech details/deliverables with venues; data tracking and documentation

  • For any events where you are not the on-site event manager, smooth hand-off of logistics to the person playing that role

  • “Handling”/support of chief creative officer, ensuring a smooth and rewarding tour experience for her (travel related research/logistics/support, meal/hospitality planning, and clear daily schedules/communication/action items, especially for event days)

  • Expense tracking, invoicing in coordination with administrative team

  • In progress and summary reporting of audience, sales, and donations data / coordination with any campaign evaluator(s)

  • Collaborating on fundraising efforts as needed including providing tour content and data for funding proposals and reports

  • Collaborating with the team to iterate on our approach and strategize subsequent phases of the film’s distribution campaign (e.g. virtual and hosted events, streaming, educational, broadcast)

  • Occasional back-up administrative support (scheduling, communications/marketing, file and database management, supporting/coordinating fundraising efforts such as grant applications, crowd funding campaigns and grant reports)

  • Other responsibilities as requested

REQUIRED QUALITIES, SKILLS AND EXPERIENCE:

  • Minimum 3 years professional experience in a relevant role (film campaign/impact producing, project administration and management, program and partner relations, PR and communications, fundraising, events management and/or executive or administrative support)

  • At least some professional experience with event planning, management, or support

  • At least some professional experience with external communications (e.g. social media, marketing, newsletters, or donor relations)

  • Strong verbal and written communication skills

  • Strong “people skills”: friendly, great listener, empathetic, self-aware, direct and diplomatic, supportive

  • Strong attention to detail and project management skills (ability to prioritize, track and execute on a variety of tasks)

  • Comfortable working with, summarizing, and presenting data (e.g. audience and financial)

  • Some experience using Salesforce (or comparable CRM tool) for lead tracking

  • Some experience using Asana (or comparable project management tool) for project/task management

  • An entrepreneurial, flexible mindset; adaptability

  • Ability to thrive in a fast paced, variable, interactive environment

  • Bonus: Experience with/demonstrated interest in the themes of The Chaplain & The Doctor (healthcare, racial equity, spirituality, end of life care)

  • Bonus: Experience with virtual event management and/or managing events on the back-end of virtual event platform(s)
